How to consign a Master Air WayBill (AIR) or Sea WayBill (OCEAN)

How to consign a House Air WayBill or Ocean Bill of Lading

Both HAWB & HB/L must be prepared as per L/C terms & consigned to ultimate consignee. HAWB and HB/L MUST contain complete consignee contact details with valid BIN Number. BIN Number is same as customer’s VAT Registration Number.

Creating Consolidation Manifest: Air or Ocean

Consolidation manifest should be created as precise as possible so that we can use the same as pre-alert if the consignee’s as well as notify details are given on the manifest. The cargo manifest should have the usual information as per below with HBL/HAWB and MBL/MAWB copy:

  • MAWB / MSWB NUMBER:
  • HAWB / HBL NUMBER:
  • PIECES AND WEIGHT:
  • SHIPPER AND CONSIGNEE:
  • FLIGHT/VESSEL DETAILS AND ETA:
  • GOODS DESCRIPTION:

No such special instruction is required for HAWB

Pre-Alert instructions: Air

The pre-alert instruction is very important & necessary for contacting consignee in advance in order to keep them happy or to prepare import documentation in advance to avoid storage, etc. We can even follow up with the carrier with a pre-alert.

Creating Consolidation Manifest: Ocean

Consolidation manifest should be created as precise as possible so that we can use the same as pre-alert if the consignee’s as well as notify details are given on the manifest. The cargo manifest should have the usual information ie

  • MB/L NUMBER
  • HB/L NUMBER
  • PIECES AND WEIGHT
  • SHIPPER AND CONSIGNEE
  • VESSEL
  • CONTAINER NUMBER
  • GOODS DESCRIPTION

Instructions for issuance of a Ocean MSWB

Delivery Mode must be confirm from POL as below rules

  1. One HBL for One or more container is CY-CY
  2. One container for more than one HBL must be CY-CFS 
  3. Consignee and Notify BIN must be mentioned in BL consignee & notify details
  4. Sum of Quantity and Gross Weight between HBL and MBL must need to be same
  5. Cargo description should contain complete description with IMO/UN details (if applicable)

No such special instruction is required for H/BL

Pre-Alert instructions: Ocean

The pre-alert instruction is very important & necessary for contacting consignee in advance in order to keep them happy or to prepare import documentation in advance to avoid storage, etc. We can even follow up with the carrier with a pre-alert

Legal requirements with regards to commercial invoices, certificates of origin, etc

We do need commercial invoice & packing list only. But in any case if some other documents are required, we may obtain from the consignee like copy of L/C, Import permit, VAT certificate of importer, IRC, etc.

Most Special requirements:

For any Ocean import, if we can’t identify the ultimate consignee name before 72 hours arrival of VSL, the steamship line will issue IMPORT CARGO MANIFEST against our name & by end of the job we have to pay unnecessary penalty to the port authority which is not a fix amount & it could be (+/-) US$300 per consignment or even more. As such, we need the pre-alert or manifest to identify the correct consignee.
